Refund and cancellation policy
How refunds, deposits, rescheduling, and no-shows work for CloudLink Sys consulting engagements.
Eligibility overview
Refunds apply to paid consulting fees for application support, document review, interview coaching, and credential orientation. This policy does not cover third-party costs such as official translations, chamber fees, or travel to interviews.
Timeframe
Cancel in writing (email to hello@cloudlinksys.digital) at least 48 hours before a scheduled session for a full refund of that session fee. Package deposits follow the rules below.
Full refunds
- Sessions cancelled by you with at least 48 hours’ notice
- Sessions or packages cancelled by CloudLink Sys (for example, consultant illness) if we cannot offer a suitable alternative date within 14 days
- Duplicate payments made in error
Partial refunds
If a Full Application Package has started—intake completed and first draft underway—cancellation by you may receive a partial refund: total fees minus the deposit and a fair charge for work already delivered (draft hours and completed rehearsals). We confirm the amount in writing before processing.
Non-refundable items
- Completed single coaching sessions once the session has begun
- Document reviews already returned to you
- Deposits where cancellation occurs after intake and within 48 hours of the first drafting milestone without fault on our side
Deposits
Packages above €300 typically require a 40% deposit. The deposit is applied to the final invoice. It is refundable if you cancel before intake, or if we cancel and cannot reschedule. After intake, the deposit covers preparation time and is generally non-refundable.
Rescheduling
You may reschedule a coaching session once at no charge with 24 hours’ notice. Further reschedules or late changes may forfeit the session fee. We accommodate shift-pattern changes when you notify us as early as possible.
No-shows
If you miss a scheduled video or in-person session without notice, the session fee is non-refundable. A replacement session may be booked at the standard rate.
Work already started
Drafts, annotated reviews, and orientation summaries already delivered remain yours to keep. Fees for those deliverables are not refunded once sent.
Materials
We do not sell physical product kits. Any printed materials prepared for an in-person review are included in the consultation fee and are not separately refundable.
Refund process and timing
Email refund requests with your name, booking date, and reason. Approved refunds are processed within 14 business days to the original payment method where possible.
